Who we are

This website and our services are run by Craftroots Technologies, a Guardco Investment Group (Pty) Ltd company, based in Windhoek, Namibia (“Craftroots”, “we”, “us”). Questions about this policy go to info@craftrootstech.com.

What we collect

• Free audit requests: your name, email address, business name, industry, goals and the social media pages you ask us to review.
• Clients: contact details, brand information from our onboarding form (audience, tone, services, topics to avoid), your logo and other brand materials, and the social media accounts we manage for you.
• Client portal: your name, email address and what you do in the portal, such as approvals, change requests and messages.
• When you contact us: what you send by email, WhatsApp, phone or a booked call.
• Published content: public performance figures from your social media pages, such as reach, engagement and follower numbers, for your reports.

We do not ask for, and ask you not to send, ID numbers, bank details or passwords to your social media accounts.

How we use it

• To prepare and email your free audit, and to follow up on it once or twice. You can ask us to stop at any time.
• To plan, create, publish and report on your social media content as agreed in your package.
• To run your client portal account and answer your requests.
• To send invoices and keep the business records the law requires.
• To improve our services. We do not sell your information, and we do not use it to advertise anyone else’s products.

AI and the services we use

Our marketing system uses trusted service providers to store information and create content, including Airtable (records), Tally (forms), Make (automation), OpenAI (writing and analysis), KIE.ai, ElevenLabs and Shotstack (images, video and narration), Publer (publishing), Softr (client portal), Google (email) and Hostinger (website hosting). They only receive what they need to do their part, and some of them store data outside Namibia. Our team reviews AI-generated work before it reaches you, and nothing is published on your pages without your approval.

Cookies and this website

This website does not use advertising or tracking cookies. It loads fonts from Google Fonts and some images from Unsplash, so those services see your device’s IP address. The free audit form is provided by Tally, and booking links open Calendly and WhatsApp, each under its own privacy policy.

How long we keep it

We keep audit requests for up to 24 months, and client information for as long as you are a client and for as long afterwards as the law requires for business and tax records. Content we created for you stays on your own social media pages unless you remove it.

Your choices

You can ask us what information we hold about you, ask us to correct it, or ask us to delete it where we don’t need to keep it by law. You can also unsubscribe from follow-up emails at any time. Email info@craftrootstech.com and we will reply within 10 business days.

Keeping it safe

Access to client information is limited to our team and protected by passwords and access controls. Each client can only see their own content and reports in the client portal.

Changes to this policy

If we change this policy, we will update this page and the date at the top. For significant changes, we will let our clients know by email.
